DATA PROCESSING NOTICE


1 - WHO WE ARE

When we refer to 'we', 'us' and 'our' in this notice it means WebInsuranceQuotations.co.uk. When we say, 'you' and 'yours' in this notice, we mean anyone whose personal information we may collect, including:

A) anyone seeking an insurance quote from us or whose details are provided during the quotation process policyholders and anyone named on or covered by the policy

B) anyone who may benefit from or be directly involved in the policy or a claim, including; claimants and witnesses.


2 - HOW WE USE PERSONAL INFORMATION

We use personal information in the following ways:

A) to provide quotations, administer policies and policyholder claims to fulfil our contract;

B) to administer your claims, third party claims, deal with complaints and prevent financial crime to meet our legal obligations;

C) to manage our business and to meet the legitimate needs of our business;

D) to offer renewal of annual insurance contracts;

E) to send marketing information if we have received your specific consent.

You have the right to object to us using your personal information. You can do this at any time by telling us and we will consider your request and either stop using your personal information or explain why we are not able to. Stopping using your information may well result in producing an inability to continue supplying you with the services you require. Our contact details can be found below.


3 - AUTOMATED DECISION MAKING, INCLUDING PROFILING

We do not use profiling and automated decision making to assess insurance risks, detect fraud, or to administer your policy. However, insurers or underwriting agencies to whom we pass your information may possibly do so. Upon request, we can supply the details of those organisations to whom we have passed your data.

4 - THE PERSONAL INFORMATION WE COLLECT

We collect the following types of personal information about you so we can complete the activities in section 2, 'How we use personal information'

A) basic personal details such as name, age, address and gender

B) family, lifestyle and social circumstances, such as marital status, dependants and employment type

C) financial details such as direct debit or payment card information

D) photographs and or videos to help us manage policies and assess claims

E) tracking and location information if it is relevant to your policy or claim

F) identification checks and background insurance risk details including previous claims information

G) medical information if it is relevant to your policy or claim

H) criminal convictions if it is relevant to your policy or claim 

I) business activities if it is relevant to your policy or claim.


5 - WHERE WE COLLECT PERSONAL INFORMATION

From you, your representatives or from publicly available sources, including information you have made public.

From other persons or organisations, for example:

A) insurers or service providers who underwrite the cover or provide the services for our products

B) other involved parties, for example; claimants or witnesses.


6 - SHARING PERSONAL INFORMATION

We may share your personal information with:

A) our approved suppliers to help deal with claims or provide our services, for example, legal advisors, loss adjusters, premium finance companies and risk surveyors

B) insurers, third party underwriters, re-insurers, insurance intermediaries, regulators, law enforcement organisations, the Financial Ombudsman Service (FOS); and other organisations that provide services to us or you

C) prospective buyers in the event we wish to sell all or part of our business.


7 - TRANSFERRING PERSONAL INFORMATION OUTSIDE THE UK

Some of the organisations such as insurance companies and intermediaries we share your personal information with may have servers outside the UK.


8 - HOW LONG WE KEEP PERSONAL INFORMATION

We keep information only for as long as we need it to administer the policy, manage our business or as required by law or contract. It is advantageous to our clients that we do retain information of expired policies in case the client later requires information about that period of insurance.


9 - KEEPING YOUR DATA SECURE

We ensure that we do keep our client data secure.  We do not allow access to our computer by external organisations and we limit where data may be stored within our organisation. Only staff who need access are granted access to your personal information. We regularly back up our data storage systems and we use data protection software to ensure security.


10- RIGHT TO REQUEST A COPY OF YOUR INFORMATION SECURED

You have a right to request a copy of the data which relates to you. Should you want a copy please contact us using the information set out in paragraph 12. Please note that we do not store information in a format that can be transmitted to other devices and automatically be loaded into other systems.


11- RIGHT TO CORRECT ANY MISTAKES

You have a right correct any errors we may have in the data we hold. If you believe we have any errors then please contact us using th information set out in paragraph 12.
